Thank you for your continued interest in substituting and for your work throughout the school year supporting the staff and students within Marin County.
This page is dedicated to our countywide substitutes who are continuously on the substitute list and were not deactivated. If you are currently inactive on the countywide substitute list, please visit the “Reactivating Substitutes” page.
Below you will find information about weekly substitute meetings and frequently asked questions.

Substitute Meetings:
Substitute meetings provide current substitutes the opportunity to learn about their re-registration requirements and ask questions. This is optional.
I offer weekly drop-in meetings and make sure to check the revised schedule below:
- Monday 11:30a.m. - 1:00p.m. (in-person) and 3:30p.m. - 5:00p.m. (zoom)
- Tuesday 10:00a.m. - 1:00p.m. (in-person)
- Thursday 10:00a.m. - 1:00p.m. (in-person) and 4:00p.m. - 5:00p.m. (zoom)
Revised Schedule:
- 9/21 - Office hours are 12 - 1 on zoom.
These meetings are on a first come, first serve basis. They exclude holidays and other events.

Mandated Reporter Training (Annual Training) - Keenan
This is an annual requirement (July 1st – June 30th). To remain active on the substitute list, this training must be completed by end of day on Friday, October 1st.
Keenan will email you the training link and your login information starting the week of July 19th. If you do not receive an email in your inbox, please search your junk/spam folder, or log into your account by visiting The Marin Countywide Substitute Keenan website.
It is important to note: if your email address was not entered into your Keenan profile, you will not receive emails from Keenan. Please log into your Keenan account to verify your email address is listed in the email field and is the most current email address. If there are any issues with adding or updating your email address, don’t hesitate to reach out by contacting sub@marinschools.org or 415.499.5863.
Additionally, Keenan will send a weekly reminder email until the training is complete. Once the training is complete, a completion certificate will appear on the homepage and you will no longer receive reminder emails. If you do not see a completion certificate, a portion of the training is incomplete and you will need to complete it.
If the training is completed through another district’s Keenan account, you will need to mail the completion certificate to the office. The various Keenan systems are not connected, so I will not automatically receive a completion certificate from another district.

Sexual Harassment Prevention Training - Keenan
The Sexual Harassment Prevention Training is a bi-yearly requirement (Senate Bill 1343). If you completed this training in the 2019/2020 school year, you will need to complete the training this school year.
Keenan will email a weekly reminder until the training is complete. Once the training is complete, a completion certificate will appear on the homepage and you will no longer receive reminder emails. If you do not see a completion certificate, a portion of the training is incomplete and you will need to complete it.
If the training is completed through another district’s Keenan account, you will need to mail the completion certificate to the office. The various Keenan systems are not connected, so I will not automatically receive a completion certificate from another district.
To see when you last completed the training:
- Log into your Keenan account
- Visit “Training History” (on the left-hand side, it’s the clock with the arrow going counterclockwise)
- Enter the date criteria: “From Date” (2019-07-01) and “To Date” (today’s date)
- Then click “Refresh List”
If the training was completed in the 2020/2021 school year, you do not need to complete the training until the 2022/2023 school year.

Troubleshooting – Keenan Training Videos
Where can I watch the training?
Visit the Keenan Safeschools Training website. Your username should be your email address. Once logged in, the required training module(s) will appear on the home screen.
Why is the video not playing?
Which browser are you using? The training works best on Firefox or Chrome. Internet Explorer may work as well. Safari is sometimes incompatible with Keenan.
I watched the video, but I didn’t receive a completion certificate.
This could be due to a variety of reasons. Most video sections include popup questions that need to be answered. If the popup question(s) are not answered, the video will not be counted as finished. Pausing the video and completing it later may also result in an incomplete. Most importantly: your account must show each video section as complete to receive the completion certificate. The completion certificate is required.
How can I tell if I completed the training?
First, log into the Keenan Safeschools Training website using your account. If you recently completed the training, the training and completion certificate (blue medal) will appear on the homepage. If you see the training, but not a completion certificate, the training is incomplete.

Expiration Reminders - Credential and TB Clearance
We will continue to provide credential and TB expiration email reminders a month in advance of the expiration date (the first of each month).
Reminder: It is your responsibility to maintain a current credential and TB clearance. If your credential or TB has expired, do not accept certificated sub work.Additionally, it is your responsibility to inform the district(s) you work for when your credential/permit is renewed.
Credential/Permit:The Commission on Teacher Credentialing provides 90/60/30 day email reminders. It is recommended to confirm the Commission on Teacher Credentialing has your most current email address. To confirm your email address, you will need to log into your account on the Comission on Teacher Credentialing’s website.
Additionally, I recommend checking your junk/spam folder periodically for the Commission’s emails.
To view your credential:- Visit the https://www.ctc.ca.gov/
- Click on the box, “Search for an Educator”
- Click on “Secured Search”
- Enter your SSN (#########) and DOB (MM/DD/YYYY). Click “Search”
- This will take you to your Credentials screen.
TB Clearance:
The TB information needs to be mailed, faxed, or personally delivered to the County office. It’s important to note emailed documents are not accepted due to security precautions.For documents mailed (P.O. Box 4925, San Rafael, 94913) or faxed (415.491.6625), please include “Attn: Amy Ridings” or “Attn: Credentials Analyst”.
For in-person delivery, there is a locked inbox outside the Credentials Analyst’s office door. If you would like a copy made, it is highly recommended to schedule a meeting. 30 Day/20 Day Rule
As a substitute, you are authorized to substitute for no more than 30 cumulative days for each teacher during the school year. In special education, individuals are authorized to substitute for no more than 20 cumulative days for each teacher during the school year.
There is an exception: fully credentialed teachers (credential based on a bachelor’s degree, teacher preparation program, and student teaching) may substitute for more than the 30 cumulative days in general education, or the 20 cumulative days in special education, for any one teacher as long as they are substituting in the subject area(s) listed on their valid credential.
We recommend keeping a log of who you substitute for, so as not to exceed the 30 day/20 day rule. -
Substitute ID’s (Sub ID)
I am thrilled to announce the substitute database has been a success, which means like last school year, we will not issue Substitute ID’s.
As a friendly reminder, it is your responsibility to provide the district(s) you work for with your updated credential/permit information. If they do not receive the information, you may be deactivated from the sub caller system. -
Updating Personal Information/Substituting Preferences
To update your personal information (name, gender, address, phone number, emergency contact, or the doctor to notify) and/or substituting preferences, please complete our “Change of Information” form. Click this link to view the form and this form is located at the Credentials office (pink form).
This form needs to be mailed, faxed, or personally delivered to the Marin County Office of Education. It’s important to note emailed documents are not accepted due to security precautions.
For forms mailed (P.O. Box 4925, San Rafael, 94913) or faxed (415.491.6625), please include “Attn: Amy Ridings” or “Attn: Credentials Analyst”.
